Azina Privacy Policy 

1. What We Collect

From You:

  • Name, email, organization name
  • Billing information (via Stripe)

Automatically:

  • Usage data, IP address, browser info

From Google (when you connect):

  • Gmail: emails, attachments, threads
  • Drive: files, folders, metadata
  • Calendar: events, attendees, availability
  • Docs/Sheets/Slides: content, formatting, comments

2. How We Use Your Google Data

We use Google data ONLY to provide Azina services:

  • Gmail: Read emails, draft responses, send approved messages
  • Drive: Access files for context, create documents, organize folders
  • Calendar: Check availability, schedule meetings, prevent conflicts
  • Docs/Sheets/Slides: Create proposals, reports, presentations

We process data in real-time during workflows. We do NOT store complete copies of your Google content.

3. We Do NOT Use Google Data For AI Training

❌ Your emails are not used to train AI models
❌ Your documents are not used to improve AI
❌ Your data is never shared with AI companies for training

✅ AI processes your data in real-time only

 ✅ Data is used solely to provide Azina services to you

4. Who We Share Data With

Service Providers Only:

  • Azure: Real-time AI processing only and no training on your data
  • AWS: Real-time AI processing only and no training on your data, Cloud hosting (encrypted)
  • Stripe: Payment processing
  • Brevo: Transactional emails

We do NOT share with: 

❌ Advertisers
❌ Data brokers
❌ Marketing platforms
❌ Other customers

5. How We Protect Your Data

Security:

  • TLS 1.3 encryption (data in transit)
  • AES-256 encryption (data at rest)
  • Dedicated AWS EC2 per organization (full isolation)
  • All API calls logged for audit

Access Controls:

  • Role-based permissions
  • Multi-factor authentication for admins
  • Automatic session expiration

6. Data Retention

During Active Subscription:

  • Org configuration: Retained for service operation
  • Audit logs: 90 days
  • Cached data: 24 hours maximum
  • OAuth tokens: Until revoked

After Cancellation:

  • Day 30: User data deleted
  • Day 90: Audit logs deleted

Trial Sessions (30 minutes):

  • OAuth revoked after 30 minutes
  • Session data deleted immediately

7. Your Rights

You can:

  • Process deletion within 30 business days
  • Confirm deletion via email
  • Never discriminate for exercising rights

8. Data Deletion Methods

Option 1: Revoke OAuth (Immediate)

  • Google Account → Permissions → Remove “Azina”
  • Effect: Immediate; Azina can no longer access Google data

Option 2: Contact Us

  • Subject: “Delete My Data”
  • Timeline: 14 business days

9. Children’s Privacy

Azina is not for users under 18. If a child used Azina, contact privacy@azina.ai immediately.
